Office Manager duties and responsibility includes providing administrative support to ensure efficient operation of the office. You will support managers and employees through a variety of tasks related to organization and communication. The admin job scope includes communicating via phone and email ensuring that all office manager duties are completed accurately and delivered with high quality and in a timely manner. We are looking for someone who practices what we preach in our holistic/natural cardiology office. We are a scent-free/toxic free office who informs our patients of the dangers of conventional laundry detergents and perfumes so we ask all of our employees to not wear any perfumes, use of fabric softeners or dryer sheets. In this office we treat patients naturally by taking them off pharmaceuticals and replacing them with evidenced-based natural supplements. We are located in Paradise Valley at the cross streets of Tatum and Shea in the Mountain View Medical Center so please take that into consideration when applying.

Responsibilities

Answer and direct phone calls
Organize and schedule meetings and appointments
Maintain contact lists
Produce and distribute correspondence memos, letters, faxes and forms
Develop and maintain a filing system
Provide general support to visitors

Main responsibilty:
- Implementing organizational procedures to make office run as efficient as possible
- Re-order office supplies when needed
- Be able to handle situations with patients with confidence and assure that they are being taken care of with the highest standard of care.
- Requesting medical records for patients and making sure we have records prior to their appointments
- Managing front office staff and making sure tasks are being finished in a timely manner.

Requirements

Proven office management experience
Excellent time management skills and ability to multi-task and prioritise work is a must with this position.
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Proficiency in MS Office
Living a healthy, active lifestyle
Having a friendly, fun personality
Excellent customer service is everything in this office
